ISP: subscribers, plans and billing

The back office for a small internet provider — subscribers on monthly plans, invoices, payments and reminders, and what the network costs to run. Shown only when ISP is switched on.

Subscribers are ordinary users whose profile is marked as an ISP plan, so nothing here is a second copy of Accounts. Running a small ISP walks through switching it on, plans, invoices, reminders and the User Portal.

Nearly every page below is permission-gated. If a colleague cannot see one, that is their role rather than a fault — Roles is where to look.

ISP

Overview

/admin/isp/overview

The ISP landing page — subscriber counts by status (paid, due soon, overdue, paused), what falls due in the next 7 days, new subscribers this month, and income, expenses and profit for the month.

When you would open it. A morning look at who needs chasing and how the month is going, before opening Invoices or Subscribers.

Before it has anything on it. At least one profile marked as an ISP plan and users on it; income needs payments recorded against ISP invoices.

Needs the view-isp permission.

Subscribers

/admin/isp/subscribers

Users on an ISP plan, with account number, plan, paid-until date, status and last login — the same people as Accounts › Users, filtered to subscribers.

When you would open it. Finding a customer by name, phone, email or account number; adding a new subscriber in one step, or importing many from a CSV file (which also moves existing users onto an ISP plan); pausing or resuming a subscription; or giving account numbers to anyone missing one.

Before it has anything on it. A profile marked as an ISP plan under ISP › Plans — a user only counts as a subscriber while on one.

Needs the view-isp permission.

→ Running a small ISP

Plans

/admin/isp/plans

Your profiles, with a tick to mark the ones you sell as ISP plans and the extras a plan carries: service type, billing cycle, setup fee and a fair-usage cap with the profile to slow to.

When you would open it. Setting up what you sell before adding subscribers, or adding fair usage to an existing plan.

Before it has anything on it. Active profiles with a price — speed, data and price stay on the profile itself (Accounts › Profiles); a plan with no price is never invoiced.

Needs the view-isp permission.

→ Fair usage

Stock

/admin/isp/stock

Routers, ONTs and other customer equipment by serial number — in stock, with a customer, faulty or retired — with deposits held and the history of every unit.

When you would open it. Adding a delivery of devices, giving a unit to a new subscriber with a deposit, or taking one back when a customer leaves.

Before it has anything on it. Nothing to start; giving a unit out needs a subscriber to give it to.

Needs the view-isp-stock permission.

→ Stock

IP Pools

/admin/isp/ip-pools

Address pools for PPPoE and static-IP subscribers: pools defined on the router (sent to it by name) and fixed-address ranges Kiwire assigns from.

When you would open it. Giving a plan a router pool, or setting up a range to hand fixed addresses out of.

Before it has anything on it. Plans with the service type PPPoE or Static IP — subscribers on other plans are never given an address by Kiwire.

Needs the view-isp permission.

→ IP addresses and PPPoE

Invoices

/admin/isp/invoices

ISP invoices in three tabs — Invoices (status and accounting sync per invoice), Payments (everything recorded this month) and Due & Overdue (open invoices by how late they are, with reminders).

When you would open it. Recording a cash or bank-transfer payment, raising due invoices early, retrying an invoice your accounting software rejected, or sending payment reminders by email, WhatsApp or SMS.

Before it has anything on it. Invoicing switched on under System › Settings › ISP (or invoices raised by hand with Bill now) and subscribers on a priced plan with a paid-until date; reminders need an Email, WhatsApp or SMS connector.

Correcting a charge: the Compensation tab lists credit or extra days given to many subscribers at once (from ISP › Subscribers › Compensate), each batch undoable as one unit. Revert cancels an invoice with a correcting entry (never a delete), moves paid-until back by exactly what it added, keeps payments as credit or records a refund, and can raise the corrected invoice; every subscriber has a Statement with a running balance. With an accounting connector chosen on the ISP settings card, each invoice is also created in Bukku, Xero, QuickBooks Online, Zoho Books or Odoo, payments recorded here are posted there, and payments made there are read back every 30 minutes.

Needs the view-isp-invoices permission.

→ Invoices

Expenses

/admin/isp/expenses

What running the network costs — one-off or monthly expenses by category — with the last 12 months of expenses.

When you would open it. Recording rent, upstream bandwidth or salaries once as a repeating expense. Profit for the month is on Grow › Finance.

Before it has anything on it. Nothing; expenses entered here are taken off revenue on Grow › Finance.

Needs the view-isp-expenses permission.

This list is read from the admin menu itself, so it cannot fall behind it.
